Standard Operating Procedure (SOP) for HRAWI Membership Application

Purpose

The purpose of this SOP is to outline the process and requirements for applying for membership with the Hotel And Restaurant Association (Western India) across various membership categories.

Scope

This SOP applies to all prospective members seeking to join HRAWI under the following categories:

  • Hotel Membership
  • Restaurant Membership
  • Associate Membership
  • Affiliate Membership
  • Hospitality & Food Services Membership

Membership Criteria

Applicants must meet the eligibility criteria specific to their membership category as outlined below:

  • Hotel Membership: For hotels and lodging establishments meeting HRAWI eligibility criteria.
  • Restaurant Membership: For restaurants and dining establishments complying with HRAWI standards.
  • Associate Membership: For businesses and service providers connected to the hospitality industry (e.g., suppliers, consultants, vendors).
  • Affiliate Membership: For organizations indirectly linked to the hospitality industry (e.g., educational institutions, tourism boards).
  • Hospitality & Food Services Membership: For Quick Service Restaurants (QSRs), Cloud Kitchens, and Food Trucks.

Applicants must submit the following documents based on their membership category:

Application Process

  • Visit https://www.hrawi.com/Apply_form.aspx & select the appropriate category.
  • Select your desired membership category.
  • Review and accept the eligibility criteria.
  • Complete the online application form and upload required documents.
  • Upon successful submission, you will receive an acknowledgment email confirming receipt of your application.
  • HRAWI will notify you via email upon approval for payment.

Membership Tenure

Membership is provided on a financial year basis. However, new members admitted in January, February, or March will have their membership extended to the end of the next financial year.

Renewal of Membership

  • Visit https://www.hrawi.com/login.aspx and log in with your membership credentials.
  • Steps to Apply Click on the "Renew Membership" tab.
  • Complete the renewal form and upload necessary documents.
  • Upon completion, your discount card(s) will be sent within 15 business days. (For Hotel & Restaurant Members).

Updating Member Information mid-year

  • Visit https://www.hrawi.com/login.aspx and log in with your membership credentials.
  • Members may update their information by clicking on the Update Profile Tab.

Name Change of Establishment and Nominee Card Replacement (with Applicable Fees)

  • Change in Establishment Name: A nominal fee of ₹3,000 plus 18% GST will be applicable for any change in the name of the establishment.
  • Nominee Card Replacement: In case of a change or loss of the nominee card during the membership year, a nominal fee of ₹1,000 plus 18% GST will be charged.

Annual Election Requirements (For Hotel & Restaurant Members)

Members must provide:

  • Valid email address (for receiving election-related communication)
  • Mobile number (for receiving OTPs)

Standard Operating Procedure (SOP) for Secondary Membership of HRAWI

Purpose

The Secondary Membership is designed to provide extended benefits to hotel members.

Eligibility Criteria

  • These cards will be issued exclusively in the name of the hotel and will not carry any individual membership rights.
  • Secondary Membership will be granted only to hotels having operating restaurants within the hotel premises.
  • If a hotel has only one operating restaurant (excluding room service, dedicated bar, cake shop, or counter sale), the hotel may apply for Secondary Membership subject to the following conditions:
  • The hotel must be a valid Primary Member.
  • The hotel must not have any accumulated or past dues.
  • The restaurant must have a minimum seating capacity of 30 seats.
  • Secondary Membership eligibility based on hotel room inventory:
  • Hotels with 25–100 rooms: One restaurant eligible for Secondary Membership.
  • Hotels with 101 rooms and above: Up to two restaurants eligible for Secondary Membership.
  • The cost for one restaurant with one or two nominee Secondary Membership holders is ₹8,560/- plus 18% GST.
  • Secondary Membership fees are not eligible for advance payment options.
  • Strict measures will be implemented to ensure that all participating restaurants honour the Secondary Membership without exceptions.

Steps to Apply

  • Login: Visit https://www.hrawi.com/login.aspx and log in with your membership credentials.
  • Eligibility Check: If eligible, proceed by accepting the terms and conditions.
  • Provide Details: Enter restaurant and nominee details (name, designation, contact info, and photo).
  • Payment: Pay ₹8,560 + 18% GST for 1 Restaurant eligible via the Payment gateway (Online / Offline). Upon successful payment, a confirmation mail will be sent.
  • Add another Nominee / Restaurant Anytime! You can add an additional Nominee / Restaurant later using the view/edit Secondary Membership tab.

Approval & Dispatch

On approval from HRAWI Membership Team, the Secondary Membership card(s) will be dispatched to your registered address within 15 business days.

Guidelines

  • Secondary Membership card(s) are for authorized representatives only and carry no additional membership rights.
  • Adhere to the terms and conditions of the HRAWI Discount Card.
