Purpose

The purpose of this SOP is to outline the process and requirements for applying for membership with the Hotel And Restaurant Association (Western India) across various membership categories.

This SOP applies to all prospective members seeking to join HRAWI under the following categories:

Membership Criteria

Applicants must meet the eligibility criteria specific to their membership category as outlined below:

Hotel Membership: For hotels and lodging establishments meeting HRAWI eligibility criteria.
Restaurant Membership: For restaurants and dining establishments complying with HRAWI standards.
Associate Membership: For businesses and service providers connected to the hospitality industry (e.g., suppliers, consultants, vendors).
Affiliate Membership: For organizations indirectly linked to the hospitality industry (e.g., educational institutions, tourism boards).
Hospitality & Food Services Membership: For Quick Service Restaurants (QSRs), Cloud Kitchens, and Food Trucks.

Application Process

Visit https://www.hrawi.com/Apply_form.aspx & select the appropriate category.
Select your desired membership category.
Review and accept the eligibility criteria.
Complete the online application form and upload required documents.
Upon successful submission, you will receive an acknowledgment email confirming receipt of your application.
HRAWI will notify you via email upon approval for payment.

Membership Tenure

Membership is provided on a financial year basis. However, new members admitted in January, February, or March will have their membership extended to the end of the next financial year.

Renewal of Membership

Visit https://www.hrawi.com/login.aspx and log in with your membership credentials.
Steps to Apply Click on the "Renew Membership" tab.
Complete the renewal form and upload necessary documents.
Upon completion, your discount card(s) will be sent within 15 business days. (For Hotel & Restaurant Members).

Updating Member Information mid-year

Visit https://www.hrawi.com/login.aspx and log in with your membership credentials.
Members may update their information by clicking on the Update Profile Tab.

Name Change of Establishment and Nominee Card Replacement (with Applicable Fees)

Change in Establishment Name: A nominal fee of ₹3,000 plus 18% GST will be applicable for any change in the name of the establishment.
Nominee Card Replacement: In case of a change or loss of the nominee card during the membership year, a nominal fee of ₹1,000 plus 18% GST will be charged.

Annual Election Requirements (For Hotel & Restaurant Members)

Members must provide:

Valid email address (for receiving election-related communication)
Mobile number (for receiving OTPs)

Standard Operating Procedure (SOP) for Secondary Membership of HRAWI

Purpose

The Secondary Membership is designed to provide extended benefits to hotel members.

Eligibility Criteria

These cards will be issued exclusively in the name of the hotel and will not carry any individual membership rights.
Secondary Membership will be granted only to hotels having operating restaurants within the hotel premises.
If a hotel has only one operating restaurant (excluding room service, dedicated bar, cake shop, or counter sale), the hotel may apply for Secondary Membership subject to the following conditions:
The hotel must be a valid Primary Member.
The hotel must not have any accumulated or past dues.
The restaurant must have a minimum seating capacity of 30 seats.
Secondary Membership eligibility based on hotel room inventory:
Hotels with 25–100 rooms: One restaurant eligible for Secondary Membership.
Hotels with 101 rooms and above: Up to two restaurants eligible for Secondary Membership.
The cost for one restaurant with one or two nominee Secondary Membership holders is ₹8,560/- plus 18% GST.
Secondary Membership fees are not eligible for advance payment options.
Strict measures will be implemented to ensure that all participating restaurants honour the Secondary Membership without exceptions.

Steps to Apply

Login: Visit https://www.hrawi.com/login.aspx and log in with your membership credentials.
Eligibility Check: If eligible, proceed by accepting the terms and conditions.
Provide Details: Enter restaurant and nominee details (name, designation, contact info, and photo).
Payment: Pay ₹8,560 + 18% GST for 1 Restaurant eligible via the Payment gateway (Online / Offline). Upon successful payment, a confirmation mail will be sent.
Add another Nominee / Restaurant Anytime! You can add an additional Nominee / Restaurant later using the view/edit Secondary Membership tab.

Approval & Dispatch

On approval from HRAWI Membership Team, the Secondary Membership card(s) will be dispatched to your registered address within 15 business days.

Guidelines

Secondary Membership card(s) are for authorized representatives only and carry no additional membership rights.
Adhere to the terms and conditions of the HRAWI Discount Card.

FAQs For Secondary Membership

1. How to retrieve membership login credentials?

Visit https://www.hrawi.com/Login.aspx, enter your User ID/Hotel Membership Number and password. If forgotten, click "Forgot Password" to reset or contact the Membership team for help. Refer to the screenshot below for guidance.

2. How to fill the application form?

Log in to your account, go to the "Secondary Membership" tab on the dashboard, accept the criteria and eligibility norms, and complete the form. Refer to the screenshot below for guidance.

3. How to select payment options?

At the end of the form, choose "Online" for UPI, Cards, Netbanking, or PhonePe, or "Offline" for NEFT/cheque. Refer to the screenshot below for guidance.

4. How to get acknowledgment for online payment?

After completing the online payment, a confirmation pop-up from Airpay will appear. You can also view the invoice and receipt in the "Secondary Membership" tab.

5. How to get acknowledgment for offline payment?

After selecting offline payment, enter the transaction details on the next page or save it to fill later. Once the payment is processed, email the transaction details to membership@hrawi.com for verification and acknowledgment.You can also view the invoice and receipt in the Secondary Membership Tab.

6. How to confirm the Secondary Membership?

After payment, you'll receive an acknowledgment email on the registered email ID as well as the nominee email ID, stating the status of the discount card and timelines to receive the cards. In case the Secondary Membership is rejected or declined, the membership team will contact you.

7. What if I want only one discount card for a nominee?

Payment covers both nominees and cannot be split. However, you can add the second nominee later at no additional charge.

8. How to add another nominee or restaurant?

Log in, click "View/Edit Details" to add or edit a second nominee at no extra charge. You can also add another restaurant for a Secondary Membership. Refer to the screenshot below for guidance.

9. Can I apply without a restaurant in my hotel?

No, you must have a minimum of one or a maximum of two operational restaurant(s) to apply for the Secondary Membership.

10. What is the purpose of the Secondary Membership?

The Secondary Membership is designed to extend benefits to hotel members with on-premises restaurants, enhancing their membership experience with HRAWI.

11. How many discount cards can a hotel apply for?

Hotels with a minimum of one and a maximum of two operating restaurants can apply for two Secondary Memberships for each additional restaurant on their premises.
Dedicated bars, cake shops, room service, and counter sales are not counted as restaurants.

12. What is the cost of the Secondary Membership?

The cost for one restaurant with two nominee discount cardholders is ₹8,560 + 18% GST.

13. What is the payment policy for a Secondary Membership taken in the last 2 quarters of the Financial Year?

A member taking a Secondary Membership in the last 2 quarters of the Financial Year must pay for the quarter(s) of the current financial year on a prorated basis, along with 12 months for the next financial year. Full payment is required before issuance, and records will be updated accordingly.

14. Is there a discount for advance payment of the card fees?

No, the Secondary Membership fees are not eligible for an advance payment discount.

15. What steps should I follow to apply for a Secondary Membership?

Login: Visit https://www.hrawi.com/login.aspx and log in with your credentials.
Eligibility Check: Confirm your eligibility and accept the terms and conditions.
Provide Details: Enter details for the restaurant and nominees (name, designation, contact info, and photo).
Payment: Pay ₹8,560 + 18% GST through the online or offline payment gateway. A confirmation email will be sent upon successful payment.
Add Nominees Anytime: Additional nominees or restaurants can be added later through the "View/Edit Secondary Membership" tab.

16. How long does it take to receive the card?

After approval from the HRAWI Membership Team, the cards will be dispatched to your registered address within 15 business days.

17. What happens if a participating restaurant (restaurant applied for the Secondary Membership) does not honor the discount card?

Strict measures will be implemented to ensure all participating restaurants honor the discount cards without exceptions.

18. How to view restaurant's Secondary Membership on the HRAWI Website?

Visit the HRAWI website, go to the Membership dropdown, select the Discount Card tab, and search using your hotel's primary Membership No. or the Secondary Membership Membership No. Refer to the screenshot below for guidance.

19. Can I transfer the discount card to another nominee?

No, the Secondary Membership is non-transferable once issued. A nominee can only be changed during the renewal process.
Loss of Card: In case of a lost card, a replacement fee of ₹1,180/- (inclusive of GST) will be charged. The replacement card will be issued in the same name as per the original application, and no name change is allowed.

20. Can I apply for Secondary Membership at any time?

Yes, applications for the Secondary Membership are accepted year-round. However, approval and dispatch timelines apply.

21. How long is the discount card valid?

The card is valid for a year from 1st June to 31st May of each year. Renewal of primary membership is required to continue availing of the benefits.

22. What discounts are offered with the Secondary Membership ?

The Secondary Membership offers a 20% discount at participating HRAWI member restaurants for dine-in services only.
